Testing - Make and Edit a Room Booking
Test your booking process before going live
Once your Meeting Hub account has been configured, we recommend completing a test booking before you start taking live bookings from customers.
To properly test the process, you will need to access Meeting Hub as two different users:
- your existing Admin User
- a separate Booker account using a different email address
The easiest way to do this is to use two separate browser sessions. For example, keep your Admin account open in your normal browser window and use an Incognito or Private browser window for your Booker account.

Select the three dots in the top-right corner of Chrome, then select New Incognito Window.
Safari
Select File, then New Private Window.
Step 1: Prepare for your test booking
If your organisation normally requires payment by credit card, you may wish to temporarily change the Payment Method in your Organisation Settings to Invoice while testing.
This allows you to complete the booking process without entering credit card details or processing a real payment.
Remember to return this setting to your normal payment method once testing is complete.
Step 2: Register as a Booker (Basic User)
Open your Incognito or Private browser window and enter your Meeting Hub URL and register as a Booker using an email address different from your Admin account.
The email address used for your test Booker must be suitable for registration as a separate Meeting Hub user, email address is a unique identifier per User.

Step 3: Make a test booking
Once registered and logged in as your test Booker:
- Find the Space you would like to test.
- Select the required date and time.
- Complete the booking details.
- Submit the booking.
- Check the Booking Confirmation and any confirmation emails received.
This is a good opportunity to review the booking experience from your customer's perspective and ensure the information presented is clear and correct.
Step 4: Review and manage the booking as an Admin
Return to your normal browser window and log in as your Admin User.
Locate the test booking from your Booking List. You can use the Booking Reference shown on the Booking Confirmation to help find it.
From here, test the actions your team may need to perform when managing customer bookings, such as:
- viewing the booking
- editing booking details
- rescheduling the booking
- cancelling the booking

Step 5: Reset your payment settings
If you temporarily changed your Organisation's Payment Method for testing, return to your Organisation Settings and restore your normal payment method before going live.

Completing a test booking gives you confidence that both the customer booking experience and your internal booking-management process are working as expected before you start promoting online bookings.
